Action Tasks
An Action Task is used to instruct a manager or internal staff member to complete something outside of Simplifi — such as setting up a software account, issuing a security pass, or arranging parking. The assigned person receives the task and marks it complete once the work is done. Action Tasks are solely for notifying a responsible person and recording completion. They cannot collect information or handle documents.Use Action Tasks for anything that needs to happen externally — for example, provisioning access in a third-party payroll provider or ordering equipment. If you need to collect information or have something signed, use an Information Task instead.
Information Tasks
An Information Task is completed within the onboarding workflow, either by the new staff member or by a manager. Use this task type to collect information or have documents completed. For example: contact details, compliance questions, or document signing. Unlike Action Tasks, Information Tasks are interactive. The assigned person completes them directly in the workflow rather than in an external system. Information Tasks support:- Collecting information (e.g. contact details, emergency contacts, compliance answers)
- Document signing
- Completing forms or questionnaires
Review Tasks
A Review Task is the final step in an onboarding workflow and is completed by the manager within the workflow. It brings together everything submitted during the onboarding process, giving the manager the opportunity to review all collected information, generate a welcome email, and make the new employee live in the system.Review Tasks mark the completion of the onboarding workflow. Only one Review Task is typically included, and it should be positioned as the last step in the workflow.
