This page defines the key system-level and configuration concepts in StaffSync. These underpin the platform’s behaviour across all modules and are typically managed by administrators.

Entities

Module

A functional area of StaffSync that can be enabled or disabled per organisation. Modules include Staff Profiles, Rostering, Timesheets, Leave Management, Payroll Integration, and Reporting. Access to each module is controlled by user permissions and may be part of the organisation’s subscription.

Permission

A setting on a user account that controls which modules, actions, and data the user can access within StaffSync. Permissions can be configured granularly — for example, allowing a user to view timesheets but not approve them, or restricting access to specific departments or roles.

API Integration

A configured connection between StaffSync and a third-party system — most commonly a payroll provider. API integrations automate the transfer of employee profiles, leave balances, and timesheet data, reducing manual data entry and keeping both systems in sync. Integrations are managed under Our Profile → API Integrations.

Data Sync

An automated process that pulls or pushes employee data between StaffSync and a connected external system (e.g. a payroll or HR platform). Syncs keep staff profiles, payroll IDs, and leave balances up to date without manual intervention. Employees created via a sync are distinct from manually maintained staff.

Kiosk

A shared device running the Simplifi Kiosk app, typically mounted at a workplace entrance, that staff use to clock in and out by entering their payroll ID. Kiosk clock-ins are recorded on the timesheet and flagged for reporting. The Kiosk is available on Android and accessible via browser on Apple devices.

Beacon

A Bluetooth device installed at a workplace location that automatically records a staff member’s clock-in and clock-out when they come within proximity. Beacon-based timesheets are generated passively without staff interaction and are tagged as beacon-clocked in reports.

Audit Log

A system-generated record of changes made within StaffSync, including timesheet amendments, leave decisions, and user actions. Audit logs provide a transparent history for compliance and dispute resolution. You can find these either in JAS, or often as blue text at the bottom of the page.

Job Queue

The back-end processing system (JAS) that executes scheduled tasks and configuration jobs for StaffSync. System administrators use the job queue to monitor and manage background operations such as syncs, timesheet generation, and bulk updates.
