Once the basic settings have been established in JAS, the remaining setup is completed on the platform. Log in as a user with access to the Our Profile module (usually the Prime User).

Create Leave Activities

In the Timesheet Activities section of the Our Profile module, at least three leave activities typically need to be created:
  • Annual Leave
  • Sick Leave
  • Unpaid Leave
Note: For groups of organisations, this section is only available at the Head Office level.

Leave activities are created in the same way as other activities. However:
  • Toggle (4) “Is this activity a type of leave” must be set to Yes.
  • Optionally, toggle (5) “Limit the use of this activity to people who can approve leave” can also be enabled.
Enabling the second toggle prevents users without access to the Leave module from adding this activity to timesheets. For example, lower-level management may need to add Sick Leave to timesheets when staff call in sick, but Annual Leave may be restricted to users with full Leave Access.
Important: To use the Annual Leave Projected Balances feature, one activity must be named exactly “Annual Leave”, as this is the activity used in system calculations.

Create Leave Types

Leave Types are the primary structure for managing leave information. Each Leave Type:
  • Holds a set of balances for each staff member
  • Can be associated with one or more Leave Activities
  • Has its own visibility and configuration options

The Leave Types required are often determined by an organisation’s payroll setup, particularly if balances are synced from a third-party Payroll Provider. Leave Types are managed in the Leave Requests section of the Our Profile module.
  • This section is available to all organisations.
  • Local organisations are limited to the Options section (6).
  • Only Head Office can create new Leave Types or change their associated activities.

Associating Activities with Leave Types

When creating a Leave Type, organisations select which Leave Activities (4) are associated with it.
  • A Leave Activity can be associated with multiple Leave Types, but it is recommended to minimise crossover to avoid confusion.
This flexibility allows organisations to record leave in as much detail as they wish without affecting payroll processing. Example:
An organisation may create separate activities such as:
  • Sick Leave
  • Carer’s Leave
  • Sick Child Leave
All of these can be associated with the single Sick Leave Leave Type. This means:
  • They draw from the same Sick Leave balance.
  • They are treated identically for payroll purposes.
  • Reporting and rostering can remain detailed.\

Payroll Pairing

If we are syncing down Leave Balances from a Payroll Provider, then we can choose which of their Leave Types match up to this Leave Type, so we can update the balances correctly (5). Usually this will be straightforward, as we create our Leave Types to match those imported from the Payroll Provider

Default Activity

Once the relevant Leave Activities have been selected, a Default Activity (6) must be set. This activity will be automatically applied when approving leave and updating timesheets. It can still be manually changed to another associated Leave Activity before approval if required.

Leave Type Options

The Options section (7) contains the following toggles:

Head Office Only

Is this a current leave type used by your organisations?
Activates or archives a Leave Type across the entire organisation.
If archived at Head Office, the Leave Type will not be visible to local organisations.

Local Organisation Options

Show this leave type in your organisation?
Activates or archives the Leave Type locally.
This is rarely archived at the local level, as Leave Types are typically standardised by Head Office.

Staff Visibility Options

Show this leave balance to staff?
Allows staff to view their leave balance for this type in the Leave module.
Show the accrued balance to staff?
If staff can view balances, this toggle controls whether they can see their accrued leave.

Manager / Approver Visibility Options

Show this leave balance to managers / users approving leave?
Controls whether leave balances are visible to users when approving leave.
Show the accrued balance to managers / users approving leave?
Controls whether accrued balances are visible to approvers when processing leave requests.
