This page defines the key entities in StaffSync’s Leave Management module. These concepts cover the full lifecycle of a leave request — from submission through to approval and payroll processing.

Entities

Leave Request

A formal submission by a staff member requesting time off work. Leave requests specify the leave type, date range, and whether the absence is for a full day or part of a day. Requests are submitted via the Simplifi app or web portal and are routed to the appropriate manager or endorser for a decision.

Leave Type

A named category of absence that defines how leave is processed and recorded (e.g. Annual Leave, Sick Leave, Unpaid Leave, TOIL). Each leave type has a payroll code that maps it to the correct activity in the payroll provider. Leave types are configured under Our Leave Request Options.

Leave Balance

The current entitlement a staff member holds for a given leave type, expressed in hours or days. Balances are typically synced from the payroll provider and displayed to both staff (when submitting a request) and managers (when approving). Managers can review a staff member’s balance before making an approval decision.

Leave Accrual

The rule that governs how a staff member’s leave balance accumulates over time (e.g. a set number of hours per pay period). Accrual rules are typically managed in the payroll provider and synced into StaffSync. Some leave types, such as TOIL, may have accrual rules configured directly within StaffSync.

Endorsement

An intermediate approval step that occurs before the final leave decision. An endorser — typically a department manager — reviews the leave request and records their recommendation before it is sent to the approving manager. Endorsement is used when a leave request requires sign-off from more than one level of management.

Part-Day Leave

A leave request that covers only a portion of a working day rather than the full shift. When submitting a part-day request, the staff member specifies the time range they will be absent. Part-day leave is reflected in the timesheet as a separate activity for the hours not worked.

Leave Calendar

A visual display of approved leave across the organisation, accessible to managers. The leave calendar allows managers to identify patterns, avoid scheduling conflicts, and plan staffing levels around upcoming absences. It can be filtered by department or date range.
