The Organisation is the business or organisation that employs and manages the users in Simplifi.

Setting Up Guide

You can follow this guide to set up an organisation. This guide will run through heading by heading and detail what the settings are, what they do and provide an example of the setting. If a setting is complicated, it will lead to another page.
Some options are omitted in the guide, these are the self-explanatory checkboxes and information fields.
  1. Press Create New Organisation Press create new organisation at the top and select the portal, industry, head office if applicable and enter the name.
  2. Organisation Settings
    Setting NameDescription
    ID NumberThe ID number for the organisation. This is auto generated.
    NameYou can adjust the name of the organisation here.
    Xero IDIf the organisation uses Xero, you will enter their Xero ID there.
    Payroll IDIf the organisation uses another payroll provider other than Xero, you will enter their ID there. Correct?
    Go LiveWhat date the organisation is going live (starting to use Simplifi)
    Offboarding DateWhat date the organisation is leaving Simplifi
    Primary UserChoose the primary user here. This user will be the master admin for this organisation will they?
    BCC AddressesList of emails to notify when a job is assigned.
    Reliever RequestsLists of emails to notify when a reliever requests to be preferred
    SubscriptionType of subscription that the school has subscribed to with the company.
    Entity NameThe name of the type of this organisation. This will be how Simplifi refers to the entity for the end-user.
    Temp Staff NameThe name of the temp staff eg. A school would refer to temp staff as “relievers”
    Roll CountRoll count of students
  3. Options for Publishing Jobs Mark checkboxes as appropriate here for settings related to Publishing Jobs within the organisation.

Can Publish Long-Term/Permanent JobsLets the organisation have the ability to publish long term or permanent jobs
Has Option Accept First Job ResponseMakes the organisation accept the first job response that they receive
Has Option to Hide End Time???
Has Option to Notify Staff in Other RolesSends staff in the organisation that are in other roles than the specified one a notification
Has Response Option Only If NeededShows the “only if you need me” option for when users choose to either accept or reject the role
Has Response Option Alternate TimesAllows staff to accept jobs with alternative times of their choosing with notes explaining the change
Has Option of Fixed Payroll HoursAllows hours to be published for a longer time than they are paid for. Eg. Shift can be published from 8:30am-3:30pm but only paid for 5 hours.
Has Pay Rate EntryGives the option to enter an hourly rate that every person working the job will be paid

Allow Individual Pay Rate OverrideIf the above setting “Has Pay Rate Entry” is enabled, this setting allows the organisation to override the pay rate on an individual job.

Definitions:
  • Tiles Tiles are the UI elements that contain the profile photo, name and other details for a staff member on screen such as payroll and timesheets.

Can Edit Staff DetailsAllows staff to edit their own details Does it?
Add Temp Staff as RequestedWhen adding temp staff via Our Relievers set their status to requested instead of the default “preferred”
Has Custom Staff Docs???
Staff can View Organisation ScheduleIf this is turned on, staff can view a schedule of everybody working in the same department/room as them
History Display (months)Number of months to show temp-staff for if they are inactive, requested or terminated.
Default Reporting To:The default reporting to option for timesheets and leave. The selected manager/staff is the approver IS IT

  3. CRM User Settings Mark checkboxes as appropriate here for Customer Relationship Management (CRM) user settings
  4. Head Office Settings Mark this checkbox if the organisation is a head office.
Upon completing this guide, you will have entered the main settings for a new organisation in Simplifi. Make sure to save your work! Press Save Organisation Details at the bottom to save the settings. Next, you must set up the tabbed settings to the right of your screen. These can be found in How to Set Up an Organisation - Part 2.
